Here’s the catch: you buy more space and spend the next six months looking for people to fill it.

Vertical space throws this calculation off, and in your favor. A 20×20 foot footprint on two levels gives you about 400 square feet of floor space, that’s roughly 37 square meters, and adds a second level on top. Your usable space thus exceeds 600 square feet, while your contract still looks like that of a small island booth. The catch is that every element of the structure is rented. Nothing goes home with you at the end of the trade show, and nothing appears on your asset ledger. If you want to be up there in three weeks a double deck trade show booth from the rental inventory beats a custom-built one in both timing and price.

Why Does Floor Space Make Such a Big Difference in Value?

Rent is calculated per square foot of occupied floor space. The number of conversations you can have at the same time isn’t specified in the contract. These two metrics diverge the moment you go up vertically, and in that gap, your budget becomes nearly twice as effective.

The country’s largest exhibition centers, McCormick Place in Chicago and the Las Vegas Convention Center, each have around 2.5 million square feet of exhibition space. Trade show and convention organizers constitute a separate industry category in the economic classification used by the Census Bureau. Venues sell this floor space in increasingly smaller increments as you move up in size. A 20×20 island booth falls into the smallest tier, which still leaves an open aisle on all four sides. A 20×30 booth costs significantly more at every trade show, and you pay this premium at every event you attend.

The upper level is visible as a destination from the other end of the hall. Visitors who climb the stairs feel as though they’ve discovered something, and that feeling can’t be bought with a larger rectangle of carpet. I saw two identical product lines set up side by side one on a single 20×30 level and one on two 20×20 levels and the two level setup attracted about twice as much traffic. The budget was the same; the layout was different.

Two practical considerations need to be factored in. First, the upper level is typically used for meetings, demonstrations, discussions with important clients, and storage, while product handling remains on the ground floor. Keep the flow of visitors on the ground floor and let the upper level act as a filter; otherwise, the staircase will be blocked just a quarter of an hour after the doors open. Next, budget for a person whose sole responsibility is the staircase. It may seem excessive until every discussion upstairs fizzles out because no one is managing the landing. There’s another benefit that’s rarely mentioned: if you turn the upper level into a small meeting room, your team will no longer discuss prices in an open hallway.

Why Buildings Go Up: Economic Height

The mechanism behind this calculation has a name in urban economics and a specific date. In 1930, economist William Clifford Clark and architect John Lyndhurst Kingston published, through the American Institute of Steel Construction, the study *The Skyscraper: A Study in the Economic Height of Modern Office Buildings*. The two assumed the role of a developer with a plot of land in front of Grand Central Station in Manhattan and calculated the costs and revenues for eight hypothetical buildings, ranging from 8 to 75 stories. The highest return was found at 63 stories, slightly exceeding that of the 75 story option.

Their conclusion has two parts, and the calculation for the number of floors is based solely on the first part. When land is expensive, it pays to fit more floor area onto the same footprint exactly what a taller building does on a lot sold by the square foot. The second part states that returns increase only up to a certain point. Each additional level requires a heavier structure and, above all, vertical circulation: in skyscrapers, elevator shafts consume leasable space on all the levels below. In a booth, the staircase plays the role of the elevators. It takes up space on both the ground floor and the upper floors, requiring a landing, a railing, and the dedicated staff member mentioned above. That is why a floor added above 400 square feet adds about 200 square feet of usable space that is, half the footprint.

Height also contributes something beyond floor area. Economist Jason Barr, who revisited Clark and Kingston’s calculations in 2018, refers to “symbolic height” as the difference between how high a building rises and what the yield would justify. A booth’s upper level also has a symbolic aspect, since it’s visible from the other end of the hall. This aspect is missing from any calculation based on square footage and lasts exactly as long as the trade show.

The study should be read with due caution. It was published by the steel structure manufacturers’ association, which has an interest in making the skyscrapers of the 1920s appear rational; it was based on 1929 land prices and examined a single site. It remains useful as a way to ask the question: how high is it worth going, and who pays for the traffic?

Three factors that determine whether it’s right for your project

Renting the space is the easy part; getting approval is the hard part.

The first thing to clarify is the ceiling height, along with the venue’s regulations. Most large convention centers publish their hanging and height limits well in advance of the trade show, and multi level booths for rent are built around these published limits, no matter how good another design might look on paper. Check with the venue first, before speaking with any vendor. It’s better to lose a week of planning than to sign a contract for a structure that the venue won’t allow you to erect.

The second consideration is the location of the loading door. Multi level systems break down into modular pieces that fit through a standard loading door. If your booth is at the end of a ramp or behind a narrow service aisle, the setup window changes. Ask about loading and unloading on your hall floor plan before you commit.

Third are union and labor regulations. In cities with strong unionized labor, including Las Vegas, Chicago, and New York, venue regulations dictate what your team is allowed to do with their own hands, and the list varies greatly from one venue to another. A vendor who already has these relationships and handles setup and takedown keeps your people out of a dispute they can’t win. Every booth has a labor plan: in some cities it fits into a single paragraph; in others, it’s the longest document in the project.

The differences are greater than the “union city” label would suggest. In Chicago, a 2010 Illinois state law gives exhibitors at McCormick Place the right to set up their own booths regardless of size using their own ladders and tools, provided the workers have been full time employees for at least six months. This right cannot be transferred to a contractor. In Las Vegas, contractors’ installation guidelines describe a much stricter rule: the exhibitor’s own team may only set up booths that can be assembled without tools in no more than half an hour. A two story booth typically requires lifting equipment, which exhibitors are not allowed to use even in Chicago, so the labor plan is drawn up in collaboration with the supplier.

A quick check before you commit should cover the entire travel budget. The General Services Administration publishes federal per diem rates by city for lodging and meals, which many private companies use as a ceiling. It’s therefore worth checking the GSA if you need to decide whether the trade show expense is justified this quarter or the next. The table that defines what constitutes a small business by industry is maintained by another agency, the Small Business Administration. Neither of these figures relates to the booth itself, but they both end up in the same spreadsheet.

What’s Not Included in the Per Square Foot Rent

The approval on which everything depends is a third party inspection, and its rules are public. At the Las Vegas Convention Center, plans for any multi level booth must be submitted to the venue’s safety and fire prevention office at least 30 days before the first day of setup. Plans approved at a previous trade show must be resubmitted each time. The upper level to be occupied must be evaluated and stamped by a licensed engineer, and the stamped plans must be kept at the booth, available to the inspector.

The same rules apply to the staircase and, consequently, the usable area. In Las Vegas, an upper level exceeding 300 square feet must have at least two exit routes, and covered areas exceeding 300 square feet require battery powered smoke detectors. In Austin, plans must be approved at least 90 days in advance; a floor may accommodate no more than nine people, and above this threshold, two staircases on opposite sides of the structure are mandatory. A 200 square foot floor falls below the Las Vegas threshold and therefore remains cost effective: a second staircase would consume precisely the floor area for which the building was constructed.

Two things follow from this for whoever signs the contract. The actual project timeline begins with the deadline for submitting plans one or three months before the trade show, depending on the city. The question to ask the supplier thus becomes verifiable: who stamps the plans, in which state is the engineer licensed, and when were they last approved, in this venue, for this configuration? A supplier who has gone through the process before responds with a document, while one who hasn’t responds with a verbal assurance.

A pre trade show check that takes twenty minutes

A floor plan and someone willing to ask a few direct questions can serve as a consultant.

Get the hall layout and request, in writing via a single email, the ceiling height at your booth’s location.

Ask what the setup and takedown days are and whether labor is billed at the standard rate or the overtime rate during those periods.

Map out the route from the loading dock, through the freight door, to the booth’s location before signing for the space.

Decide who is responsible for the ladder and write their name on the booth layout.

Count the sales conversations you expect to have, not the number of visitors who will pass by your booth. That number determines whether you need the two story booth.

I’d choose the two story booth at any trade show where you’re expecting more than twenty real discussions with buyers and you have a product that requires a quiet space. I’d skip it for an initial market test, when you’re still figuring out what buyers want, because the structure limits you before you’ve even honed your pitch. Choose the format based on the maturity of your presentation, not the size of your ego.

A vendor from a city where you don’t work

The advice to rent from a partner who already has connections with the venue is sound but difficult to implement, since the exhibitor usually comes from another city. Las Vegas welcomed 5,988,200 convention attendees in 2025, according to the local tourism authority’s research center, and for many exhibitors, it’s a city where they have neither an office nor any familiar vendors. The relationship with the booth construction company unfolds over the course of a few days, far from home, and a botched setup is discovered on the morning of the opening, when there’s nothing left to fix.

However, there are a few things that can be checked remotely before signing the contract. The company’s existence can be verified in the public registry of business entities maintained by the Nevada Secretary of State, where you can see if the company is active. Organizers typically require, for any contractor brought in by the exhibitor, a notification and an insurance certificate submitted by a set deadline, so a reputable supplier can show you the certificate and confirmation from the previous trade show. The stamped plans mentioned above are the third document. Photos of assembled booths prove less than they seem, because they do not indicate who assembled them.

As with any supplier, the initial shortlist is compiled from recommendations and sources that group companies by trade. In a human edited directory, booth builders and exhibition contractors fall under the category of offline marketing and advertising, alongside the other trades required for a trade show presence from printing companies to promotional material manufacturers. This categorization helps with the first step figuring out what kind of company you need and that’s where it ends. Terms and conditions, capacity, and references must be verified separately using the documents mentioned above.

After dismantling, all that’s left is the paperwork

A rented booth has one feature that budget calculations list as an advantage: after three days, it’s gone. Nothing goes home with you, so nothing stays in the hall either. The buyer who climbed your staircase on Tuesday looks for you at the office on Thursday, but by then the floor no longer exists. What remains is the listing that is, the entry in the trade show’s exhibitor list, with the booth number and how the company appears in other places where it can be found.

The exhibitor list functions as a temporary directory, and the booth number as an address with an expiration date. After the trade show, the buyer compares what they remember with what they find: the name on the sign on the floor, the one in the trade show list, the one on the website, and the one in the directories where the company appears. Any discrepancy among them gives them a reason to move on to the next supplier on the list. The Jasmine Directory blog describes in detail the signs that indicate whether a company listing is trustworthy or should be avoided, and the first of these is the consistency of contact information across different sources.

The Fake Exhibitor Directory and the Real One

Precisely because the exhibitor list is public, it has become the target of a well known scam. In March 2013, the Federal Trade Commission sued Construct Data Publishers, which operated under the name Fair Guide. The company sent exhibitors forms that appeared to be a simple request to verify data for the “exhibitor directory” of a specific trade show. In the fine print at the bottom of the page, the signature constituted a contract for $1,717 per year, for three years, for a listing on a website with no connection to the trade show. The rule of thumb for exhibitors is simple: any form that mentions the trade show’s name and requests a signature should be verified with the organizer using the contact information in the exhibitor handbook before being sent back.

This case illustrates, by contrast, how an honest director operates. The price is disclosed before the signature. Someone reviews the proposal before publication, and rejection is possible. At Jasmine Directory, for example, every proposed site is reviewed by an editor; the evaluation fee is paid only once and is refunded if the site is rejected. To provide guidance on the rest of the market, an article by the director reviews how much a listing in a business directory costs in 2026 and where automatic renewals are hidden.

The limitations of an edited listing must be stated just as clearly. It confirms that the company exists, that it operates in the category in which it appears, and that it can be found again after the booth has been dismantled. The quality of the setup is not covered by the listing, nor is adherence to the deadline. The listing does not serve as a recommendation and does not replace verification in the state registry or with the trade show organizer.

Renting is precisely the point

Setting up a high value exhibition space is no longer a matter of equipment.

A product launch doesn’t need a permanent showroom to prove its concept. NASA has a Saturn V rocket on display in Houston that never took off: it’s made up of stages built for canceled Apollo missions and has been there since 1977, on loan from the Smithsonian collection. No one would build another one just for a demonstration. You’d move the existing one or, in your case, rent the space that showcases your product exactly as it should be showcased.

Multi level structures are built as modular sets, so the same structure can be taken apart and rearranged for the next event. This is why renting for an entire season beyond a single trade show is cost effective. A custom built structure is a sunk cost with a depreciation schedule. A 20×20 two level booth, like any other rented configuration, is a budget line item that you can cut when the trade show season ends. For a brand attending four or five events a year, the savings add up faster than any discount negotiated on floor space.

If the budget for a better space is already in the plan, invest the money in a structure that utilizes the ceiling space instead of buying more carpet, and keep your footprint to the smallest size allowed by the trade show. First, determine the vertical limits, then the regulations of the city where you’re exhibiting, and rent only what truly earns its place on the floor.

Every additional booth size costs you real money across three budget lines at once: the space itself, the carpet and additional hanging space, and the two or three people you need on the booth so it doesn’t look deserted.
